Before you start

  • Instructor access to an active course that is not archived.
  • A supported browser and permission for any microphone, camera, or screen you intend to share.
  • A confirmed schedule, session mode, and participant expectations.

You are done when

  • The Sessions list shows the correct title, mode, start time, and end time.
  • The conference can be left cleanly and the session detail retains attendance and recording state.

If something goes wrong

  • Use Retry when sessions or conference state fails to load; do not create a duplicate session while the first save is uncertain.
  • If the conference fails after Start conference, leave the workspace, confirm the session status on the detail page, then retry once.
  • Preserve the visible attendance or recording error before asking the facility operator for help.

The written procedure below covers scheduling, starting, moderating, attendance, recordings, and recovery.

Schedule the session

  1. Open Courses, choose the course, then open Sessions

Choose New session. This action is unavailable for an archived course.

  2. Enter the session details

Provide the title, scheduled start and end, and Video mode for a LiveKit conference. Add location or attachments only when the selected mode requires them.

  3. Save and verify the list entry

Confirm the title, mode badge, date, time range, comment count, and any recording count before sharing the schedule.

Start and moderate the conference

  1. Open the session and choose Start conference

Review device permissions and the preview, then enter the conference workspace.

  2. Use the persistent media controls

Manage microphone, camera, screen sharing, participants, chat, hand raising, and layout from the conference controls. Keep participant identity and role context visible.

  3. Leave when the conference ends

Choose Leave rather than only closing the browser tab so local tracks and room state are released predictably.

Record attendance and review artifacts

  1. Return to the session detail

Review automatic participation evidence and the attendee list after the conference.

  2. Adjust a learner only when evidence requires it

Enter attendance minutes for the named learner and choose Save in that row. Confirm the saved value before moving to another person.

  3. Open available recordings from the recording list

Use the recording status shown on the session. A missing or processing recording is not replaced by an invented link.
